In this dual-focused role, you’ll combine your expertise in administration with your ability to build and nurture client relationships. You’ll take ownership of the day-to-day administration, reception, and job scheduling for 3 to 8 clients, depending on their size and requirements, while also ensuring their success through proactive support and seamless communication.

As a Senior Client Coordinator & Administration Specialist, you’ll be responsible for critical processes, client and staff onboarding, and maintaining system efficiency. With a focus on delivering results, this role is perfect for someone who thrives in a fast-paced, evolving environment.
You’ll be able to build rapport with clients, always deliver above and beyond their expectations, have an amazing phone manner, know Xero inside & out, and know business operations and administration.
Key Responsibilities
- Personal Assistant & Admin Support: Partner with clients to provide end-to-end administrative support.
- Client Relationship Management: Build, nurture, and sustain strong client relationships.
- Seamless Client Onboarding: Coordinate and oversee the onboarding of new clients, introducing them to our systems and processes while ensuring a smooth handoff to the admin team.
- Operations Management: Oversee job scheduling, data entry of purchase orders, quote and invoice processing, and follow-ups.
- Process Optimization: Follow, refine, and create business checklists and procedures.
- Communication Excellence: Manage reception services, including inbound and outbound calls.
What We’re Looking For
- A seasoned admin professional with proven experience delivering results in dynamic environments.
- Expertise in client onboarding, job scheduling, and administrative processes.
- A BRILLIANT phone manner and the ability to maintain composure under pressure.
- Exceptional attention to detail, organizational skills, and multi-tasking abilities.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn new systems.
- A proactive, solutions-driven mindset with a knack for adapting to change.
Bonus Skills
- Experience with ServiceM8, SimPro, or similar job management software.
- Proven track record in writing business systems, procedures, and checklists.
- Background in job scheduling or diary management.

Job Types: Full Time | 38 hours a week (9am to 5pm).
Annual Salary: $55,000.00 – $70,000.00 + super
Please note: There will be a training period at the commencement of this job, and these hours will be paid at a reduced rate and this position might commence on a casual basis with the expected working hours to be between 24-38 per week, with the opportunity of becoming permanent full time / part-time for the right candidates.
